    Be challenged with working in partnership with Congress stakeholders including Congress Manager, BU lead, Brand, MI team, Agencies, Show Organizer to develop and implement innovative, cost effective and compliant exhibit program solutions.

    Responsibilities

    Planning:

    • Partner with stakeholders to understand show objectives, exhibit space and budget to recommend and develop convention/congress annual participation.
    • Develop and maintain annual budget planning / forecast
    • Negotiate Congress sponsorship participation to include exhibit space, symposia, and exhibit hall meeting space
    • Manage planning process from initial planning through debrief meeting at key congresses and conventions
    • Manage all aspects of convention/congresses planning through interaction with brand teams, associations, and planning team members.
    • Manage and maintain all pertinent congress information
    • Maintain master schedule and convention/congress information utilizing congress planning tool
    • Provide Association deadlines, key decision deadlines throughout the planning cycle
    • On-site management / key congresses

    Implementation:

    • Decision Making:    
      • Coordinate w/ business to establish scope of Congress participation; estimated operational cost
      • Informed of initial proposals; consulted as needed
    • Deadline Management:
      • Provides Assoc deadlines, key decision deadlines throughout the planning cycle
    • Support Initiation:  
      • Submit initiation form to begin PO/approval process (US only)
    • Project Planning:
      • Contact business, review planning timeline 6-12 mos in advance of Level 1; 4-6 mos in advance of Level 2
      • Organizes and leads all aspects of planning calls
    • Issue Management:
      • Escalate issues to appropriate Congress Lead
    • Pre-Con:
      • Facilitates and leads pre-con (WebEx or Live) for Level 1 & 2 Congresses
    • On-Site Support:
      • Serves as primary contact on-site at L1 Congresses; L2 as appropriate
    • Post-Con:              
      • Gathers post Congress feedback. Facilitates Debrief w/i 2 weeks for all L1 & L2, L3 as needed; sends pertinent data to Project Owner within 30 days

    Qualifications

     

     

    Required Traits:

     

    • Foresight to anticipate clients’ needs and requirements.
    • Excellent interpersonal skills and the ability to develop a strong rapport with the      convention/congress department client, brand managers, regulatory personnel, agencies and other key stakeholders.  Approachable, engaging and likable.
    • Articulate, poised and polished with the ability to communicate clearly, concisely and professionally both verbally and in writing.
    • Exceptional organizational skills and ability to multi-task; able to manage shifting client priorities and multiple/simultaneous client shows and projects.
    • Ability to proactively provide practical solutions in an ambiguous, time sensitive and fast paced environment.

     

    Requirements:

     

    • Bachelor’s Degree required with Marketing/Communications major preferred or commensurate experience.
    • Thorough knowledge of spreadsheets, databases, word processing and graphics.
    • Ability to analyze available information and make sound decisions.
    • Excellent communication and presentation skills.
    • Ability to work in consultative manner with internal GES teammates and client contacts at a variety of levels.
    • Travel approximately 35%.
